The approval process is where you define who accepts requests or changes submitted by employees in Calamari.
Approval flows can be configured for two main areas of the system:
1. Time Off & Remote work requests
Approval flows can be used for requests related to absences and remote work. This includes, for example, vacation requests, sick leave requests, other absence types, and requests for remote work (business trips, overtime, etc.).
In this case, the approval flow defines who should review and approve the employee’s request before it is accepted in the system.
2. Timesheet changes
Approval flows can also be used for changes submitted in timesheets.
In this case, the approval flow defines who should review and approve a timesheet entry or a change made to working time records before it is accepted in the system.
The configuration described in this article applies to these approval flows in Calamari.
Adding/editing approval process
Go to Configuration → Approval process → Add new approval process or edit the existing one:

Defining the approval process
You can define the type of approval: automatic or with specific steps. If the approval flow should go according to the approval steps, we need to define:
1. Approval steps
You can add one or several approval steps. In each step, you can assign one or multiple approvers. If a step includes more than one approver, all of them will receive a notification about the request; however, it is not required for everyone to approve it - approval from just one person in that group is sufficient.
The approver can be:
any person from the employee list
team, e.g. HR team, Management
You can set up either one person or many employees as a multi-approval.
2. Substitute approval
This option enables approving requests while the original approver is currently absent.
3. Notification after final approval
Here, you can choose who will be notified via email about the finally approved request. You can select a particular employee or the whole team to be notified.
4. Add alternative process
You can define an alternative process with completely different approval settings. The alternative process is applicable only to a particular absence type.
