Core HR Documents allows you to create directories with access restricted depending on the role: administrator, manager or regular user. In the Documents you can:

  • send a complete document to be placed in the employee's file,

  • send a document that needs to be completed or signed by the employee,

  • send a request for document delivery to selected employees,

  • send documents that the employee should acquaint with.

Creating directories

In the Configuration tab → Documents administrator configures directories. You can use default directories or edit the available list of directories according to your organization's needs. During the creation of directories, you define their accessibility and visibility for certain users (managers, users/owners).

Available visibility and access options:

  • No access - user can't see files, and doesn't have access to them,

  • Read - user can view and download files,

  • Read and write - user can download, send and edit existing files.

Adding documents to directories

Administrators

In the Documents → Add, as an Administrator you can:

1. Send a complete document to be placed in the employees' file,

2. Send a document that hat needs to be completed or signed by the employee,

3. Send a request for document delivery to selected employees,

4. send documents that the employee should acquaint with.

After switching to Pending tab you can check your documents, documents awaiting your approval and documents sent/requested.

Managers and regular users


In the Documents → Add, as a Manager/Regular user, you can add documents to a directory to which you have sufficient access.

After switching to Pending tab you can check your documents including documents sent to you and document requests.

Important

Employees who have been asked to complete/acquaint/send the document receive a notification according to their notifications configuration (Email, Mobile App, Slack).

Below is a list of file formats that can be attached to directories in the Documents module:

  • Pdf: .pdf

  • Text files: .txt, .rtf, .doc, .docx, .odt, .fodt, .pages

  • Spreadsheets: .xls, .xlsx, .ods, .fods, .numbers

  • Archives: .zip, .rar, .7z, .gz, .tar.gz, .tar

  • Images: .png, .jpg, .jpeg, .gif, .tif, .tiff, .heic, .heif

The maximum file size in the directory is 30MB.
