This article explains how to manually allow an employee to use unused carry-over days beyond the standard carry-over period.
Calamari does not automatically extend the carry-over expiration date for a single employee. If you need to make this kind of individual exception, you can handle it manually by editing the employee’s entitlement.
When to use this solution
Use this solution when:
One employee has unused carry-over days,
The standard carry-over period has ended,
You want to allow this employee to use those days for a longer period,
The exception applies only to this employee, not to the whole company or a larger group of employees.
If you want to change the carry-over period for many employees, update the absence type or entitlement configuration instead.
How it works
This process does not change the original carry-over expiration date in Calamari.
Instead, the administrator manually checks how many carry-over days are still unused after the standard carry-over period ends. Then, the administrator adds those unused days back to the employee’s entitlement with a new effective date.
After the extended period ends, the administrator needs to check the balance again. If any of the manually added days were not used, they should be deducted manually.
Example
An employee has 3 carry-over days available until April 30.
As an exception, you want to allow this employee to use any unused carry-over days until June 30.
After April 30, check how many of the 3 carryover days remain unused.
For example:
If the employee used 1 out of 3 carry-over days before April 30, add back the remaining 2 days.
If the employee did not use any of the 3 days, add back all 3 days.
If the employee used all 3 days, no action is needed.
The added days should have an effective date of May 1.
How to add the unused carry-over days
To add the unused days back to the employee’s entitlement:
Go to Configuration → People.
Select the employee.
Open Adjust entitlement.
Choose the relevant absence type.
Click + Adjust entitlement.
Select the holiday year to which the adjustment should apply.
Enter the number of unused carry-over days you want to add.
Set the As of date, for example, May 1.
Add an internal comment explaining the adjustment, for example:
Extension of unused carry-over days until June 30, approved as an individual exception.Click Save.
The comment is visible only to administrators and helps keep the adjustment history clear.
What to do after the extended period ends
After the extended deadline, check whether the employee used the manually added days.
For example, if the extended deadline was June 30, check the employee’s balance after that date.
If any of the manually added days were unused, deduct the remaining days from the employee’s entitlement.
For example, if you added 2 days on May 1 and the employee used only 1 of them by June 30, deduct the remaining 1 day.
You can do this by adding another manual adjustment with a negative value.
Add an internal comment, for example:
Deduction of unused carry-over days after the extended period ended on June 30.
Important
This process is manual. Calamari will not automatically remind you to check the balance after the extended period ends.
We recommend adding an internal reminder in your calendar or HR process to check whether the employee used the extended carry-over days.
