Tutorial - How to use the Time Off module?

This is a simple user guide for the Calamari Leave module for regular employees. For any additional help needed, feel free to visit help.calamari.io or contact the support team at [email protected]

How to Apply for Leave?

  1. Go to the APPLY tab:

    • Click on the specific day(s) in the calendar to select your leave dates.

    • Fill in the required details:

      • Absence type

      • Reason for leave

      • Substitute (if applicable)

      • Part-day request (if needed)

    • The bar below the calendar will display:

      • The number of requested leave days

      • Your remaining available days

  2. Submit your request.

Note: Once a leave request is submitted, it cannot be edited. If changes are needed, cancel the existing request and submit a new one.

How to Check My Team’s Availability?

  1. Go to the CALENDAR tab:

    • View your colleagues’ approved and pending leave requests.

    • Use filters to search by employee, team, absence type, or category.

How to Check the Status of My Leave Requests?

  1. Go to the REQUESTS tab:

    • View all your submitted leave requests.

    • Filter requests by date, status, or type.

    • Click on a request to see more details.

    • Download your request as a PDF or cancel it if necessary..

How to Check My Leave Entitlement?

  1. Go to the ENTITLEMENT tab:

    • View your available leave balance for each absence type.

    • Click on a specific absence type to see additional details, including restrictions and rules.

  1. Accrued Until Today:

    • The number of leave days you’ve earned so far in your current leave cycle.

  2. Future Accrual:

    • The additional leave days you’ll earn by the end of your current leave cycle.

  3. Carried Over From the Last Cycle:

    • The unused leave days from your last leave cycle that you can still use in this cycle.

  4. Sum of Manual Adjustments:

    • Leave days added or deducted manually by your HR/admin team.

  5. Sum of All Requested:

    • The total leave days you’ve already requested, including pending and approved ones.

  6. Carried Over to the Following Cycle:

    • The unused leave days that will transfer to your next leave cycle (if allowed).

The 11d + 14d at the top shows:

  • 11d: Days you’ve already used or had approved.

  • 14d: Days you still have left to use in your current leave cycle.

INTEGRATIONS

Calamari offers a wide range of integrations with other systems and applications.

If you use tools such as Slack, Google Workspace, Microsoft365, Jira, SAML, calendars, and others daily, contact your company's Calamari administrator. Connecting your existing systems with Calamari will make your daily work even easier.
