Learn how you can set up visibility of the leave requests in Calamari calendar, Google calendar and Outlook

Calamari allows you to manage calendar visibility to ensure employees and managers see only the necessary information. You can configure visibility settings for:


Managing Calamari calendar

In Calamari, you can adjust permissions to control what employees and managers can see in the calendar:

1. Company-wide vs. Team-only view

  • You can decide whether employees see the entire company’s time-off and remote work calendar or only their team members’ schedules.

  • To configure this setting, go to Configuration → Permissions.

  • Select one of the options from the dropdown list:

    • Employees can see on the calendar absence requests of all employees

    • Employees can see on the calendar absence requests of their team members.

2. Detailed vs. limited information

  • Define which details (absence type name, reason, substitute, etc.) are visible to all users and which are restricted to managers or admins.

  • To adjust these settings, go to Configuration → Absence Types → Select an absence type → Click Edit → Navigate to Fields and Visibility.

  • Here, you can decide whether requests of this absence type, absence type name, reason, or substitute can be visible to:

    • All employees;

    • Reporter (employee who requested time off), Manager, Approver, and Admins;

    • Admins only

3. Calendar colors for absences

  • To prevent identifying absence reasons based on color, use the same color for all absence types.

  • Requests for remote work or business trips can have unique colors.

  • Configure this in Configuration → Absence Types → Select an absence type → Display tab → Color of the calendar.

Tip: Copy the selected HEX number and paste it into all absence types to quickly ensure they have the same color.

4. Absences due to a fixed work plan

  • Decide whether you'd like to show absences based on the work schedule on the calendar.

  • This feature is useful for part-time employees. For example, if someone has Fridays off as part of a four-day workweek, you can enable visibility for this under Configuration → Account Settings.

5. Birthday details (only applicable if using Core HR module)

  • You can enable showing birthday details on the calendar under Configuration → Account Settings


Managing Calamari calendar in Google

As part of our integration between Calamari and Google Workspace Calendar, we offer two features for syncing leave requests, remote work requests, and public holidays with Google Calendar:

User Calendar

Calamari syncs:

  • Leaves to users' calendars as out-of-office (OOO) events

  • Remote work requests as calendar events

Company Calendar

Calamari syncs:

  • Leaves, remote work requests, and public holidays to the company's shared calendar

  • All leave and remote work events across the organization

Managing Calamari calendar in Outlook

As part of our integration between Calamari and Outlook Calendar, we offer two features for syncing leave requests, remote work requests, and public holidays with Outlook:

Calamari syncs:

  • Leaves to users' calendars out-of-office (OOO) events

  • Remote work requests as calendar events

Company Calendar

Through calendar subscription functionality, Calamari syncs:

  • Leaves, remote work requests, birthdays, and public holidays to the company's shared calendar
