Tutorial - How to use the Time & Attendance module?

This is a simple user guide for regular employees for the Calamari Time & Attendance module. For any additional help needed, feel free to visit help.calamari.io or contact the Support Team at [email protected]

Calamari Time & Attendance is used to record working time using a variety of available methods depending on your account settings.

You can:

  • Add working time "manually" (web browser or mobile application)

  • Mark working time in real-time by using various terminals/methods such as: web browser, mobile application, Slack, QR codes, Beacons, MS Teams. *

* The Calamari Administrator decides which methods of marking the working time will be available to the user.

Below you will find the description of each method:

Web browser application

This is the Clock tab. You can mark your presence by clicking the START button (1) or check your schedule and details for today (2).

Additionally, you can mark your work time against a particular project (a), start/stop a BREAK (b) and add a comment to the shift (c).

In the Timesheet tab, you can see your own timesheet by choosing the timesheet view (3) and filtering the period of time (4). Moreover, you can click on a particular day (5) to see more details. In addition, you are able to see the worked time vs scheduled time here (6).

Below you can see the view of the particular day (5). Anytime you can create a new shift + Add Presence (7) by providing your hours upfront, edit the current shift (8), or delete your shift (9).

If you are the approver in your Company’s structure in the Approval tab you can approve or reject your colleagues' requests (10).

The Presence tab section is a real-time presence list. Here you can see who is present or absent, on a break or works remotely, or is on vacation in your company (11). Moreover, it is possible to filter the presence list by employees and teams (12).


Mobile application

Using the Clock in the mobile application, you can mark your presence by clicking the START/STOP button, mark a BREAK, work time for the project or add a description to the working day:

Furthermore, our mobile applications allow you to mark attendance even easier and faster - thanks to available widgets.


iOS:

  • Registering working hours

  • Scanning the QR Code

    There's Calamari widget with the employee's QR code that can be used directly from a mobile device's screen. This allows users to scan their QR code on the terminal without the necessity to open the Calamari app:


Android:

There are two available widgets:

  1. QR code widget - with the employee's QR code that can be used directly from
    a mobile device's screen. This allows users to scan their QR code on the terminal without the necessity to open the Calamari app:

2. Clockin widget - allows users to start/stop their shifts, mark breaks and change projects directly on a widget. This option will work for users who don't use GPS location tracking on their devices. Users who track GPS location on their device will be redirected from a widget directly to the app.


MS Teams/MS 365/Outlook

In MS Teams/MS 365/Outlook, we can mark our presence or break in real-time by clicking the START/STOP/BREAK button:


Slack

In Slack, we can mark our presence or break in real-time by clicking the START/STOP/BREAK button:


QR codes

By scanning the QR codes at the entrance of the office, you can mark your presence, break or work on a certain project in real time. You can receive a printed QR code from your Calamari Admin or you can use the digital QR code from your Calamari mobile app.


Beacons

Beacon is a device that emits a Bluetooth signal. To make sure that Beacon will recognize your presence you should have: Bluetooth enabled + internet access + GPS access. When entering the Beacon's range, you will be automatically marked as present.
