How to enable Gmail autoresponders for employee absences?

Learn how to enable autoresponders, also known as automatic replies or OOO messages.

The Google Workspace integration can automatically set a vacation responder in an employee’s Gmail account when their absence begins.

Once enabled, this feature applies to all employees connected through the Google Workspace integration.

How does the Gmail vacation responder work?

When an employee submits an absence request, Calamari can automatically configure a vacation responder in their Gmail account for the duration of the absence.

If the employee selects a substitute in their absence request, the substitute’s details will also be included in the automatic response.

Enabling this option does not change or interrupt your existing Google Workspace integration. The vacation responder feature is disabled by default and must be activated separately.

Important:

At the moment, it is not possible to customize the content of the message set through the integration.

The automatic reply is provided in two languages: Polish and English.

Before you begin

To configure the feature, you need:

  • Administrator permissions in Calamari,

  • administrative permissions in Google Workspace,

  • an active Google Workspace integration in Calamari.

Step 1: Enable Gmail vacation responders in Calamari

In Calamari, go to:

Configuration → Google Workspace

Find the Gmail vacation responder option and enable it.

Once activated, the setting applies to all employees included in Calamari whose profiles are integrated with Google Workspace.

Step 2: Open domain-wide delegation settings

Due to Google Workspace security requirements, a Google Workspace administrator must also grant the required permission manually in the Google Admin Console. Sign in to the Google Admin Console using a Google Workspace administrator account.

Open Security → Access and data control → API controls → Manage domain-wide delegation

You can also open the domain-wide delegation page directly:

Select Add new.

Step 3: Grant the required Gmail permission

Enter the following values:

Client ID

117561213110058513574

OAuth scopes

https://www.googleapis.com/auth/gmail.settings.basic

Select Authorize to save the configuration.

Google Workspace may require a few minutes to apply the new permission.

The feature is now active

After both settings have been enabled:

  1. Calamari will create a Gmail vacation responder when an employee’s approved absence begins.

  2. The responder will remain active for the duration of the absence.

  3. If a substitute was selected in the absence request, their contact details will be included in the message.

No changes to the remaining Google Workspace integration settings are required.
