How to allow your employees to edit their time entries?

Learn how to enable employees to manually edit their entries in Timesheet.

In Calamari, employees can track their working time in real time in several ways. If you also want them to add time entries asynchronously, you can enable this by granting them permission to edit entries in the Timesheet.

Where can I enable employees to edit Timesheet entries?

In order to allow your employees to edit their time entries in the Timesheet, you should:

  1. Go to Configuration → Permissions:

  2. In the section "Employees can...," enable the toggle "Edit their timesheets manually".

  3. Create the approval flow in Configuration → Approval flow → Add alternative process → Attendance and timesheet approval.

What exactly can employees do when I enable this permission?

By enabling the “Employees can: Edit their timesheets manually” permission, you allow employees to perform the following actions in their own Timesheet:

  • add time entries for a specific day or multiple days,

  • edit existing time entries,

  • delete entries from the Timesheet.

Can employees delete entries without approval?

Whether an employee can edit their Timesheet automatically or whether someone else needs to approve the changes depends on the approval process.

If “Default approval steps” or “Attendance and timesheet approval” is set to automatic approval, every change made by the employee in the Timesheet will be saved without any additional approval.

If you want, for example, a manager to approve every entry or change, configure the appropriate approval process for “Attendance and timesheet approval.”

How is this different from other time tracking methods?

The ability to add entries to the Timesheet asynchronously or edit existing entries is simply a manual way of adding or correcting time records. Employees can still use other time tracking methods, as long as they are enabled by an Administrator under Configuration → Time & Attendance: Methods.

Can employees add Timesheet entries outside the web app?

Yes, if you use other time tracking methods in addition to the Calamari web app.

Once enabled, employees can also add time entries manually through the Calamari app in Slack or the Calamari app in Microsoft Teams.
