You can import 3 kinds of data to Calamari:

  • List of your employees
  • The historical/future leave requests
  • Entitlement balance

Below, you will find a step-by-step instruction on how to import each file to Calamari.

Employees import

  1. First of all, add Teams, Positions, Working Weeks, Approval Flows, and Holiday Calendars to your Calamari account. Upper case letters make a difference!
  2. Download and fill in the template file
  3. Make sure that the dates (hire date, birth date) have the same format as the date in your Calamari account
  4. Please check if there are no empty spaces left at the end of each line
  5. Format everything as text
  6. Save the file as a CSV format
  7. Go to Configuration → Import → Employee import, and upload your file :)

Requests import

  1. Put all required information to the template file (you can find it here).
  2. Please make sure that the names of the absence types are the same in both the file and your Calamari account.
  3. The status of the imported requests can be ACCEPTED or PENDING
  4. Please make sure that From and To dates have the following format: YYYY-MM-DD
  5. If you would like to import half days, please put the start hour in the Half-day column and in the next column please put the finishing hour (in format hh:mm). You can also put here the time of day: MORNING, AFTERNOON, END_OF_DAY.
  6. Please check if there are no empty spaces left at the end of each line
  7. Format everything as text
  8. Save the file as a CSV format
  9. Go to Configuration → Import → Absence requests, and upload your file :)

Entitlement balance import

Note
Please remember that the number put in the file will be adjusted to the entitlement accrued automatically by the system. For example, if you put 6 days in the file next to John Smith, it will add 6 days to his entitlement. If you put a minus (-) before the number, it will deduct the given number of days from the employee’s current entitlement.

  1. Please make sure that the names of the absence types are the same in the file and on your Calamari account.
  2. Make sure that As of day (date) has the following format: YYYY-MM-DD
  3. Please check if there are no empty spaces left at the end of each line
  4. Format everything as text
  5. Save the file as a CSV format
  6. Go to Configuration → Import →Entitlement changes, and upload your file :)
